1. Who we are

FreeInvoices (freeinvoices.online) is a free online invoice generator made by Dovydas (@dovlaurn). If you have questions about this policy, contact us at help@freeinvoices.online.

2. How our service works - three ways to use FreeInvoices

Your privacy experience depends on how you choose to use the service. We offer three tiers, each with different data practices:

Guest (no account)

• No signup required. You can create and download invoices immediately.
• Data stays on your device. Invoice details, client information, branding and usage counters are stored in your browser's local storage only. This data is not sent to our servers.
• No personal data collected by us. We do not receive your name, email, invoice amounts, client names or any other invoice content when you use guest mode.
• Limit: up to 5 invoices per day (tracked locally on your device).

Free account

• Sign up with email. We use a passwordless magic link sent to your email address.
• Cloud storage. When signed in, your invoices are saved to our secure cloud database so you can access them from any device and redownload them later.
• Data we store: your email address, invoice data (amounts, dates, line items, client names and addresses) and any branding assets you upload (such as your logo).
• Limit: 3 invoices saved to the cloud per calendar month.

Premium (paid)

• Same data practices as a free account, with unlimited monthly invoices.
• Payment data is processed by our payment provider (Polar). We do not store your credit card or payment details on our servers - only a license record linked to your account.

Scheduled recurring invoices (paid add-on)

• If you set up a recurring invoice, we store the invoice template, your chosen schedule (frequency, start date, send time) and the recipient's email address you provide, so the invoice can be generated and emailed automatically.
• Subscription status. This feature is a monthly subscription. Payment is handled entirely by Polar; we store only a billing record linked to your account - the subscription status, the current billing period end date, and Polar's customer and subscription identifiers - so we know whether the feature is active. We never receive or store your card details.
• Emails are sent on your behalf using our transactional email provider (Resend). Each generated invoice and its delivery outcome (sent or failed) is logged so you can review it in your dashboard. The reply-to address on each email is set to your own sender email, so a client's reply reaches you directly, not us.
• You confirm you have permission to email each recipient before a schedule can be created. See our Terms of Use for acceptable-use rules around this feature.

3. Information we collect

Guest users

We do not collect personal information or invoice content from guest users. The only data related to your usage is stored locally in your browser and never transmitted to us. Clearing your browser data or using a different device will reset this local information.

Account holders (free and premium)

When you create an account, we collect and store:

• Your email address (for authentication)
• Invoice data you create (amounts, dates, line items, notes, tax details)
• Client information you enter (names, addresses, contact details)
• Branding assets you upload (company logo, colors, business details)
• Account metadata (creation date, license status for premium users)

Analytics (all users, including guests)

We use privacy focused analytics to understand how the service is used and to improve it. This includes:

• PostHog - page views, feature usage events and general interaction patterns. We do not send invoice content, client names or financial data to PostHog.
• Performance analytics — aggregate performance and traffic metrics (page load times, visitor counts). No personal data or invoice content is included.

Analytics are used to improve the product, not to sell your data or build advertising profiles. You can block analytics by using a browser extension or ad blocker.

4. How we use your information

We use collected information only to:

• Provide, operate and maintain the invoice generator
• Authenticate your account and keep you signed in
• Save and sync your invoices across devices (account holders only)
• Enforce usage limits for free and guest tiers
• Process premium license purchases and redemptions
• Respond to support requests you send us
• Improve the service through aggregate analytics

We do not sell your personal data. We do not use your invoice data for advertising. We do not share your data with third parties except as described in this policy.

5. Data storage and security

Account data is stored in Database, a secure cloud database provider. Data is encrypted in transit (HTTPS/TLS) and at rest. We take reasonable technical and organizational measures to protect your information but no online service can guarantee absolute security.

6. Data retention and deletion

We retain your account data for as long as your account is active. Guest data in your browser is retained until you clear your browser storage or uninstall the browser.

You can permanently delete your account and all associated data at any time from your account menu (Account → Delete account). This removes your email, invoices, clients, branding and license records from our servers. Deletion is irreversible.

If you use scheduled recurring invoices, deleting a schedule also deletes its stored template, recipient email and delivery log. Pausing a schedule stops future emails immediately but keeps its settings and past delivery log until you delete it or your account. Invoices already generated and sent by a schedule remain in your invoice history like any other invoice, unless you delete your account entirely.

7. Third-party services

We use the following third-party services:

• Database - authentication and database hosting for account holders
• PostHog - product analytics
• Hosting infrastructure - website hosting, delivery and aggregate performance monitoring
• Polar - payment processing for premium licenses and for the Scheduled Recurring Invoices subscription, acting as merchant of record
• Resend - delivery of automated emails for the scheduled recurring invoices feature, if you use it. Resend processes the recipient email address and the generated invoice PDF solely to deliver that message.

Each provider has its own privacy policy governing how they handle data. We only share the minimum data necessary for each service to function.

8. Cookies and local storage

Guest mode uses browser local storage to save your in-progress invoices and track daily usage limits - this data never leaves your device. Account holders may receive authentication cookies/tokens from Database to keep you signed in. Analytics providers may set their own cookies. You can clear local storage and cookies through your browser settings at any time.

9. Children's privacy

FreeInvoices is not directed at children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will delete it.

10. Your rights

Depending on your location, you may have rights to access, correct, delete or export your personal data. Account holders can delete their account directly in the app. For any other requests, contact us at help@freeinvoices.online.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will update the "Last updated" date at the top of this page. Continued use of the service after changes constitutes acceptance of the updated policy.
